Choosing between facility management companies in Riyadh is one of the most important operational decisions a building owner or tenant makes. The right partner keeps your property clean, safe, compliant and comfortable; the wrong one creates complaints, breakdowns and hidden costs. This guide sets out what to look for before you sign.
1. Start with a clear scope of services
Before you approach the market, define what you actually need. Most requirements fall into three groups:
- Soft services — cleaning and housekeeping, security, reception, landscaping, pest control and waste management.
- Hard services (technical O&M) — HVAC, electrical, plumbing, fire life-safety, access control/CCTV and minor civil works.
- Management services — helpdesk, CAFM, contract management, HSEQ and lifecycle planning.
A provider that can cover all three under one integrated contract reduces interfaces and gives you a single point of accountability. See our full list of service lines.
2. Check manpower quality, not just headcount
Facilities management is a people business. Ask how staff are recruited, trained, supervised and retained. Look for licensed technicians, documented induction and toolbox talks, a clear supervisor ratio, and a plan to support Saudisation targets under the Ministry of Human Resources and Social Development rules.
3. Insist on safety and regulatory compliance
Your FM partner works on critical systems in your building. Confirm they operate a permit-to-work system, carry out risk assessments, maintain fire life-safety systems to Civil Defense requirements and can show their HSE procedures and incident records.
4. Ask how performance is measured
Good FM companies agree measurable KPIs and SLAs up front — response and rectification times, PPM completion rate, cleanliness audit scores and customer satisfaction — and report on them monthly. If a provider cannot explain how they will be measured, treat it as a red flag.
5. Look for technology: CAFM and a 24/7 helpdesk
A Computer-Aided Facility Management (CAFM) system logs every request, schedules planned preventive maintenance and builds an asset history. Combined with a 24/7 helpdesk, it gives you transparency over what was done, when, and by whom.
6. Review mobilisation and transition planning
The first 90 days of any FM contract carry the most risk. Ask for a mobilisation plan covering staffing, tools and consumables, asset surveys, PPM schedules and handover from any incumbent contractor, so there is no gap in service.
7. Compare value, not just price
The cheapest bid often under-resources the contract. Compare proposals on staffing levels, specifications, consumables, response times and reporting — then on price. A well-run PPM programme usually costs less over the life of your assets than repeated emergency repairs.
